Frequently asked questions about AI for business
Answers to the most common questions about digital employees, security, implementation, and how AI can help your specific business.
AI for Business – Fundamentals
What does AI mean for an industrial B2B company?
AI helps industrial B2B companies manage knowledge loss during employee turnover, respond faster to customer inquiries, automate repetitive support questions, and streamline internal processes. It's not about replacing people – it's about giving your team the right tools to focus on what creates the most value. Learn more about our solutions →
How do you get started with AI in your company?
Start by identifying where your team spends the most time on repetitive tasks – typically internal support, customer service, or searching for information. A good starting point is an AI assistant that can answer internal questions based on your existing documents. At Gaide, most companies start with Thor as an internal knowledge assistant. See how it works →
Do we need technical expertise to use AI?
No. Modern AI solutions are designed to be as easy to use as a search engine or chat function. With the right partner, you don't need any internal AI expertise – your provider builds, implements, and maintains the solution for you.
Can AI really understand technically complex questions?
Yes, if it's trained on the right information. An AI assistant specifically trained on your product sheets, manuals, and technical specifications can answer detailed questions with source references. If it can't find the answer, it says so – instead of guessing.
Why shouldn't we just wait until AI technology is more mature?
AI is developing exponentially and will never be "finished." Companies that start now are building up internal knowledge and competitive advantages that become hard to catch up to. The longer you wait, the wider the gap between you and competitors who have already started.
How quickly can we see results with AI?
Most companies notice an impact within the first weeks. An internal AI assistant starts delivering value immediately – the team finds answers faster and stops interrupting each other. Measurable ROI in the form of freed-up time and shorter response times often appears within the first month. See pricing →
Digital Employees
What is a digital employee?
A digital employee is an AI assistant specifically trained on your company's knowledge, products, and processes. Unlike general tools like ChatGPT, a digital employee already knows everything about your business – just like a colleague who's worked with you for years. Meet the team →
What's the difference between a digital employee and ChatGPT?
ChatGPT is a general-purpose tool that requires each user to formulate their own questions and interpret answers. A digital employee is pre-trained on your specific business – your products, processes, and customers. It responds with source references to your approved documents and integrates directly into your existing systems like Teams, email, or web portal.
Can a digital employee work in Swedish and other Nordic languages?
Yes. Digital employees can communicate in all languages – including Swedish, Norwegian, Danish, Finnish, and your customers' languages. Language switching happens automatically based on the customer's query.
What tasks can a digital employee perform?
Depending on configuration, digital employees can answer internal questions, handle customer inquiries, qualify leads, generate quotes, monitor service intervals, and create marketing content. They work around the clock and escalate complex questions to your human team members. Meet the team →
Will AI replace our employees?
No. Digital employees take over repetitive, time-consuming tasks from your staff – like answering the same questions over and over, searching through documentation, or handling routine matters. Your people can instead focus on what requires human judgment, relationships, and experience.
Security, Data & Compliance
Is it safe to use AI with company data?
Yes, with the right provider. The most important factors are that your data is stored within the EU, never used to train public AI models, and that you as a customer always own your own data. At Gaide, all data is stored in Stockholm and we create isolated environments per customer. Read about security →
What does GDPR say about AI use in business?
GDPR requires that personal data is handled lawfully, transparently, and with purpose limitation. This means your AI provider must be able to show where data is stored, who has access, and that a Data Processing Agreement (DPA) is in place. Gaide offers DPA as standard and stores all data within the EU.
What does the EU AI Act mean for businesses?
The EU AI Act is the EU's new AI legislation being progressively implemented from 2025. It classifies AI systems by risk level and requires transparency, documentation, and human oversight. Most business AI assistants are classified as "limited risk" – meaning disclosure requirements apply, but not the strictest rules. Gaide continuously adapts to the evolving regulatory framework.
Can AI "hallucinate" or make up answers?
The risk exists with general AI tools. Gaide's digital employees use a technique called RAG (Retrieval-Augmented Generation). This means they only answer based on your approved sources and always provide source references. If they can't find the answer, they say so – instead of making something up.
Are public AI models trained on our company data?
Not at Gaide. Your data stays in your isolated environment and is never used to train public AI models. Data is not shared with third parties either. Upon cancellation, you receive all your data, and it is then permanently deleted.
Where is our data physically stored?
All data is stored in Stockholm, Sweden, via established cloud providers such as Google Cloud and AWS with data centres within the EU. Your information never leaves European soil.
Implementation & Practicalities
How long does it take to implement AI in a company?
An internal knowledge assistant can be up and running within a week. A more customised solution with system integration typically takes 8–10 weeks. We always start with what creates the most value fastest and build from there. How it works →
Which systems can AI integrate with?
Modern AI solutions can integrate with most business systems. Common integrations include CRM systems (Salesforce, HubSpot, Lime, Superoffice), ERP systems (Monitor, Visma, Dynamics), communication tools (Microsoft Teams, Slack, email), and document management (Sharepoint, Google Drive).
What does AI cost for a company?
It varies depending on complexity and needs. At Gaide, you can start with an internal knowledge assistant from SEK 995/month with no setup fee or lock-in. More customised solutions with deeper integration are quoted individually based on your situation. See pricing →
What happens if the AI solution doesn't work as we hoped?
A serious provider offers flexible terms. Gaide has a 1-month cancellation period and no lock-in – we don't want customers who don't see value. If the numbers don't hold up, we don't proceed.
Do we need to change our existing systems to use AI?
No. A good AI solution integrates with your existing systems – you don't need to switch platforms. Information is pulled from the sources you already use: Sharepoint, intranet, CRM, product databases, and similar.
Industry & Use Cases
How can manufacturing companies use AI?
Manufacturing companies can use AI to give technicians instant access to manuals and error codes, automate technical support, streamline order management, monitor service intervals, and centralise knowledge that currently exists only in individual employees' heads. Solutions →
Can AI help with technical support and customer service in B2B?
Yes, it's one of the most common use cases. An AI assistant can answer repetitive technical questions around the clock, with source references to the right manual or product sheet. Complex or sensitive questions are automatically escalated to your human team.
How can AI help preserve knowledge when employees leave?
AI can centralise and structure your company's knowledge in a digital knowledge base. Instead of knowledge disappearing when an experienced employee retires or changes jobs, it remains accessible to everyone – new and seasoned alike. It's about making the company's collective experience available, not just that of individual people.
Can AI generate leads and support sales in B2B?
Yes. An AI assistant can qualify leads via web chat around the clock, answer product questions, prepare quotes based on templates, and update your CRM automatically. Your salespeople get more time to focus on building relationships and closing deals.
How does AI work in service and aftermarket?
AI can monitor service intervals and warranty expirations, contact customers automatically when it's time for maintenance or spare parts, identify upselling opportunities, and flag at-risk customers. This gives you proactive service instead of reactive firefighting.
Comparisons & Choosing a Provider
Should we build our own AI solution or buy a ready-made one?
Building in-house requires 12–18 months of development, SEK 800K–2M in costs, and ongoing maintenance. A specialised provider delivers in 8–10 weeks at a fraction of the cost and handles operations and updates. For most companies, partnering is significantly more cost-effective.
What's the difference between ChatGPT Enterprise and a specialised AI solution?
ChatGPT Enterprise is a general-purpose tool that each employee must configure themselves. A specialised solution like Gaide delivers pre-trained assistants that already know your products, processes, and customers. The difference is like giving every employee an encyclopedia versus hiring a specialist.
How should we choose an AI provider?
Evaluate based on: industry experience (does the provider understand your type of business?), data security (is data stored within the EU?), flexibility (lock-in period?), and measurability (how do they measure results?). Ask for a concrete demo with your own data, not just a generic presentation.
